The AI Assistant links what has been read in a field (by the AI, the OCR or an Intelli-Tag) with the right entry of a master list: the supplier of your ERP, the customer, the item code, the cost centre. The model returns "Acme Industries S.L."; the assistant finds the supplier record, writes its canonical name or code and marks the field as resolved.
Enabling it on a field
In the properties of the field (Data entry form, Field properties, AI Assistant section) activate the assistant and choose the source of candidates: the help list of the field, a database lookup, the Intelli-Tags of the field or a custom SELECT on a database connection. In a database list the value is what is written to the field and the description (for example the tax id) is also indexed, so a match by tax id is possible.
The Source nodes filter says what is searched: the engine (oai, gemini or any), the alias of the AI configuration and the JSON nodes to read, separated by |. Without an AI response the value already read in the field is used.
Thresholds
Minimum score: the similarity needed to accept a candidate (1.00 = identical; scores are cosine similarities of a vector index plus a dictionary match).
Minimum margin: if the best candidate does not beat the second one by this margin, and is below the "margin below score", the result is marked LOWMARGIN and nothing is assigned (unless the name read is identical to the candidate).
The operator can link a value to a candidate by hand or ignore candidates, if the options allow it.
Indexes
The assistant uses a vector index stored in the configuration folder (chronolink\cslinks). It has to be rebuilt when the list changes: with the AI Assistant rebuild in the job, with a scheduled task of type Rebuild AI assistant (see Scheduled tasks), from the command line (-rebuild_ai_assistant:"job,helplists,field") or from a script (ChronoBatch.AI_AssistantRebuild). An index of about 5,000 entries takes a couple of minutes.
Results and diagnosis
The result of each document is saved in aiassistant.<field>.json in the document folder, with the values read, the candidates and their scores; it is also a cache, so delete it to search again. The field dialog of the assistant (Data entry form) shows the same table, with the low margin rows marked, and lets the operator pick a candidate.
